VBS Mission Statement:

VBS at The Bible Chapel exists to develop followers of Jesus Christ in a fun, safe and welcoming environment. We will share the life changing message of Christ and nurture a growing relationship with him for children in our church and community at large. We will accomplish our mission through the 5 essential values at The Bible Chapel: v Word: God’s word will always be the center of our teaching and all that we do. Every day the children will be taught God’s truth through age appropriate lessons and activities. v Worship: Kids will experience authentic worship through singing, praying, activities and learning to honor God through their daily living. v Connect: We will share the value of relationship and love our neighbor as God calls us to love, meeting each person with the welcoming love of Christ. Friendships will be nurtured through small groups and class sizes and in a safe and welcoming environment. v Serve: Children will be given to opportunity to serve others throughout daily activities and through a global outreach project. v Share: The Good News of Jesus Christ will be shared daily through lessons and activities and conversation. Every child will make a small booklet that explains the salvation message and equips them to share the Good News with others. Resources (i.e. devotional links, service times, book titles) will be provided to every child to share with their family and friends.

Crew Leaders Role in VBS:

The purpose of the Crew Leader/Assistant is to lead and guide the children assigned to their crew through their daily activities during the week of VBS, while forming relationships that witness the love and truth of Christ in hopes that each child will draw closer in their walk with Christ.

Who Is in a Crew?

A Crew is typically a mixed group of 7-10 boys and girls who are entering into K-4th grade. There will be approximately 60 crews. Each crew will have a crew leader and 2 crew assistants (one of the three whom should be an adult). We are encouraging each crew leader to find their own assistant(s). Please also spread the word and recruit more crew leaders!! They will be needed!! If you want your child in your crew, please notify us tonight, if you did not request with your registration. 2|Page

Daily Schedule: We start our day at 8:20, and you need to already be checked in, so, please plan accordingly. Volunteers without Children, Check-In Procedure: • Park in the designated areas assigned to volunteers. Keep in mind there will be families with children. If you are able to park away further, it helps them park closer! • Leave your personal items in your car, or you would need to carry those items with you through the day. They can’t stay in your FLC Box. • Check yourself in through one of the computers in the FLC. • Grab a morning snack, across the hall from the FLC in Room 315. Volunteers with Children, Check-In Procedure: • Park in the designated areas assigned to volunteers. • Leave your personal items in your car, or you would need to carry those items with you through the day. They can’t stay in your FLC Box. • Check in yourself, and the children with you, through one of the computers/kiosks in the Children’s Area/South Lobby. You will receive a sticker for each child that must be placed on them. Kiosks will be open by 8:00 AM. - Preschool and Nursery children should be taken to their assigned room. - Elementary and Breakout Children (K-6th) should go to room 210 (the YAC). They will be brought up as a group to the Worship Center in time for the VBS Opening. - Children with special needs should be checked in at the Special Needs area (Psalm 139 Way) EACH morning and will remain there until they are taken to be joined with their crew. • Grab a morning snack, across the hall from the FLC in Room 315.

8:20 Morning Meeting: Meet in the FLC before our 8:20 a.m. start time, for prayer, devotions, and special announcements about the day and schedule. Please sit at your FLC Box so we are able to easily take attendance to request floaters to fill in, in case of emergency. The children begin to arrive in the Worship Center at 8:45 a.m. and we want to make sure you are at your crew station to greet them when they come, so they feel as welcome as possible!

VBS Opening: (Roar Sing and Play) • Greet each child as they join your group, and give them their lanyard nametag. If the child is a new registrant, please make sure that their crew number matches your crew. If they are not in your crew, kindly let the adult know that for safety reasons, every child must be in the crew assigned to them. Make eye contact and speak with the adult/guardian who is dropping them off. Give them a chance to tell you if someone else might be doing pick-up, or any other concern they may have. • When your entire crew is gathered, the Crew Leader, as a church member, can take a picture of their crew in the morning as a means of identifying the children in their crew, each day, for safety purposes. These pictures should be deleted daily and never posted on social media. This same policy applies to the Spot Light Selfies that you can text to the parents during the week of VBS. • One of the Crew Assistants needs to be filling out the paper attendance form as the kids are coming in. At the end of the opening, we need for a Crew Assistant to give that form to a member of the Registration team who will be collecting forms at the doorway exits. •

During the Opening: Roar Sing & Play session, kids can be given a Crew Job.



You can come up with your own jobs or have children share jobs so that all of the children in the crew have a role. Kids can get excited about having special jobs. Encourage them and provide lots of opportunities for them to do so. JOBS

Chooses action ideas for traveling through VBS (such as galloping, skipping or marching!) Counts the group to make sure everyone is there. Leads the Crew in thanking Station Leaders each day. Holds open any doors for the whole crew to pass through. Help spread the tablecloth and pass out snacks. If kids have not used the restroom and washed their hands, they can help with the sanitizer.

Snacks: (Hungry Herd Café): • Allergies: All of the children who have an allergy should have a sticker on their nametag so that they can easily be identified, and you will be alerted on the emailed list you receive prior to VBS. Every child who has a food allergy and will not eat the provided snacks will have special snacks brought from home on Monday for each and every day of VBS, unless they have registered later in the week. There will be a drop-off in the Registration Area for these snacks. The alternate snacks will be put in your crew box in the FLC and will remain there all week. Vanessa O’Rourke is our Snack Coordinator, and we can go to her with any questions. • Before you even enter the FLC, think about having your children use the bathrooms and wash their hands with soap and water. • Get your box from its designated spot along the wall and spread out your tablecloth and offer each child hand sanitizer if they have not washed their hands. • Crew Leader or Assistant should pray before the snack, unless you have an eager crew member who would want to do it. However, this snack is only for the kids, not the leaders. • During snack you will: - Sit with your crew, eat, have fun, explain the meaning behind each snack, tell the silly jokes, tie everything into the Bible Point/Verse for the day. On Monday hand out Bible Buddies, on Tuesday/Wednesday work on the Gospel Booklets that will be used in KidVid on Thursday for the Salvation message. - Clean up, remembering to keep your plastic tablecloth and then… the next choice is up to you. If you want to remain in the FLC to talk, please do. This is not a time for your crew to run around the gym, other groups are trying to connect. You can meet in a quieter place, this can be outside, in a hallway, etc. Please DO NOT use any of the hallways on the lowest level of the church, the South Lobby, the preschool or nursery hallways, or the main lobby outside the Worship Center. Indoors or out, think of an area on the way to your next rotation as you plan where to meet. During the last 5 minutes of snack, we may be able to see videos from one of our global workers who has been in Kenya. 5|Page

KidVid (in Worship Center): • This is where the kids meet the Bible Buddy each day, hear stories from kids just like them, talk about our Global Mission Project and hear about God Sightings. During the first day of VBS, each child will receive a bracelet to remind them to watch for God. They will be given opportunities through VBS to tell others how they have seen God. • This is time when Crew Assistants take their breaks, after escorting their crews to KidVid, and they need to be back before the kids leave KidVid to escort them to their next station. Thursday, breaks will be taken during Imagination Station. • Thursday is our formal gospel presentation, and we will need our assistants available during this time, as the Crew Leader will go with any child who wants to make a decision for Christ, to the Worship Lobby. • We have many people who are waiting for an opportunity to help each child understand the gospel, and to help them clarify their decision. Crew Leaders, please only take 1 or at the most 2 kids speak with privately. • Because there will be no assistants to help if a child needs to go to the bathroom, you are encouraged to utilize the bathrooms before KidVid. If a child needs to use the bathroom during KidVid, we will try to have adults in the back of the room to escort them, so the Leader will not miss any of the video.

vEntering and Exiting KidVid: Entering is always through the doors on the left, next to the bookstore. Exiting is on the right, next to the escalators, or the door to the front of the stage, leading to the hallway by the Special Needs Ministry. 6|Page

Imagination Station (First Floor): • You and your crew will be instructed in experiments to demonstrate the Bible Point for each day. • Members of the Imagination Station Team will bring bags up at the end of the day, with the kid’s project in them. Please wait to pass their projects out until the Closing is over and their adult is there to pick them up. • Crew Assistants need to return the bag to a drop-off point located at the back of the Lobby at the end of each day. • Remember on Thursday, the Crew Assistants will be taking their break during this time.

Bible Adventure (4th Floor): • Here is where your crew will hear the Bible story of the day, and you all will be interacting with the teacher.

Games (Stampede Sports): • There are 2 Fields this year. Please be sure to read your schedule closely. • The Near Field, is by the Playground. • The Far Field, is by Keller Williams, and the other businesses. You will need to cross the driveway to get to the Far Field, please use the sidewalks and crosswalks, in case of traffic. • This is the time when the Crew Leader is taking their break, after walking your crew to the games. You will need to return to your crew, before they leave games, to go to your next destination. • Assistant Crew Leaders are in charge during games. Please take part in the games, without making it about yourself. These games are trying to enhance the lessons of VBS each day. Encourage your kids and let them seeing you have fun.

VBS Closing/Parent Pick-Up (Safari Celebration): • VBS ends at 12:15. After VBS Closing, wait at your station until all the children in your crew are picked up. The children will probably be very excited to see their parent/guardian. Please make sure that the parent/guardian comes to you. We do NOT want kids running around to find their parent, this is for their safety and yours. If you are having trouble finding a parent, please see one of the directors and they will assist you. Do not leave until each member has been picked up. You will also have the phone # to text the parent to see if there is a problem. • If you have children of nursery and preschool volunteers in your crew, please wait until all the other children have been picked up and then take these children to the front of the worship center to be escorted to the nursery counter by Jacqueline and Brandi. We will try to indicate these children with a sticker on their nametag. • Names tags, crew bags, and anything that would be important to be at VBS should be collected at the end of the day and left on your crew pole. The only exception to this would be epi-pens, and inhalers. • After each day, please take just a few minutes to clean up the area around your Worship Center crew station. Straighten your “mail” Pouch and crew poles as well as pick up any excess paper or trash. If everyone puts 3-5 minutes into cleaning their area after VBS each day, the Worship Center will look a lot better!

Closing Program: Friday, June 28, 11:30 - 12:30 P.M. • Parents will be invited to attend Safari Celebration, beginning at 11:45 a.m. and ending at approximately 12:30 p.m. Once your crew is settled in their seats, one of your Crew Assistants can begin turning in your crew bags, nametags, and leftover supplies, in designated bins outside the Worship Center, in Room 238/239, before the Closing begins. • At 12:30, parents will be asked to pick-up their children from their crews. • Each child will receive a goody bag to take home, along with a special note from you to each member of your crew. • Poles should be left in place at the end of the closing. 8|Page

Forms: • Daily attendance forms: Filled out and turned in, at the end of the VBS opening § Personalized Notecards: Crew leaders, on Wednesday, you should receive postcards to fill out for each child in your crew. Please write a personal note to each child, and have it signed by all leaders in the crew to give out on Friday. • Medical Forms: You are not responsible for these, please have them turn Medical Forms into the Medical Station in the Lobby or someone at the Registration Table. • Evaluation forms: Emailed towards the end of VBS

Calling/Texting Crew Members: • You will need to contact your assistant crew leaders before set-up Sunday, and every child in your crew, by Sunday, June 23rd, before VBS. All registered children, will check in and pick up their nametag at your crew pole in the Worship Center on Monday. It is extremely important that you call each of the children so they will know where to go. Also, many times the parents want to speak with the crew leader just to make sure they are aware of any special needs of the child. This phone call is a very important step that gets the child excited about VBS and the parent relaxed. • We are hoping to provide you with your crew list via email by Saturday, June 22rd. The list will give you the children’s names, ages, phone numbers, as well as any allergies/medical needs, included the name of any Special Needs Buddies. Please check your email or Realm! (You may have children added to your crew as registration continues.) • Please include the following information in your call to the parent/child: - Your name and a little about yourself. - The crew number and the approximate number of children. • Let the parent know that they will need to come into the Worship Center each day to drop off and pick up their child. There will be no curbside drop off or pickup: if there is a medical issue, preventing the adult from getting into the building, please have them call Brandi Murr at: 412-445-0071. • If the child has never come, include a little about what they will be doing that week. • New this year…Please wear closed toe shoes, no flip-flops or crocs that can break. There will not be water games where the kids will be soaked! • If you are unable to connect with a parent, please text the crew number and your name to the parent so they know where to go on Monday morning. • If the parent is upset or angry that a certain request they made was not fulfilled, please politely inform them that the crews are structured according to how it works best for the children and the crew leader. The intent is not that kids just hang out with their friends, but that they meet new friends and that God uses them in their crews. If a parent is still upset, please free to refer them to Brandi or Jacqueline. 11 | P a g e

Set-Up Day (June 23) Responsibilities: The Sunday before VBS, June 23th, after the second service there is a work day for VBS volunteers and leaders. ALL Crew leaders are expected to attend, and we highly encourage the Assistant Crew leaders to attend. • Meet in the FLC by 12:15 pm. Please send just ONE crew representative to the tables to gather materials. • During the set-up, you will pick up your crew nametags to put into the lanyard, as well as your crew box for the FLC and your crew bags for the worship center. • You will need to confirm that the following items are included: IN YOUR CARDBOARD FLC CREW BOX: - Hand Sanitizer - Tablecloth for snack time IN YOUR WORSHIP CENTER CANVAS CREW POUCH: - Lanyards/name tags for each child in your crew. IN YOUR CREW BAG: - Pencil - Pen - Permanent Marker - Post-It-Notes - Ban-Aids Latex Free

- Red/Green Emergency Card - Epi-Pen Instruction Card - Emergency/Medical Procedure Sheet - Map

• You will build your cardboard crew box, put tablecloth and sanitizer in it, and then, place it along the wall, in its designated zone, in the FLC. • Everything else (your crew’s name tags, your filled crew bag, your Pole Pouch, should be taken to the Worship Center and placed on your crew pole. A map of what row you are in will be provided. • You will be provided your schedule for the week. Please walk through your schedule so that you will know where to go on Monday morning, and the distances involved.

Tips/Other Information: • Remember, someone is always watching you. Please be the best possible example you can be. • Take notice and comment on when one of your crew makes a good decision or does something praiseworthy. Catch them being good! • Travel from station to station in a “Crew Sandwich”. There should be a Crew Leader or Assistant in the front, back, and if possible, middle. • Make sure you know where the children are at all times. Keep counting! • If a child needs to go to the bathroom, wait outside the bathroom for them. NEVER accompany a child into the stall. • You will be given a few Band-Aids to have available in case of minor cuts/scrapes. If you need more, please let Jacqueline or Brandi know. We have to use latex free! • The Crew Leader or Assistant Crew Leader needs to keep your Crew Bag with your crew at all times. • Use the post-it notes in your crew bag to communicate needs/questions. Include your name and crew number on all communications. Those notes can be given to Jacqueline and Brandi or the registration table. • Please make sure that you wait for the signal to change rooms at the end of each session. There should not be any crews in the hallways until the signal is given. • Use your cell phones responsibly! • If you will be late to the meeting or have any issues getting to VBS, please text Brandi and Jacqueline so they can make arrangements. • Please only use the Elevators if necessary, due to a physical limitation…the 2 Deep Rule still applies.

Medical/Emergency Procedures:

Please read the following procedure for The Bible Chapel medical procedures. If a child sustains an injury, it is absolutely essential that you follow the procedures outlined in this section. IN ADDITION TO THESE PROCEDURES, PLEASE MAKE SURE YOU LET ONE OF THE DIRECTORS KNOW IF A CHILD WAS INJURED. They will need to call the parent and talk with them. THIS SHOULD BE DONE AS SOON AS THE CHILD IS TAKEN CARE OF. For Minor Injuries/Illnesses: • If an elementary child (K-4) or adult is hurt or ill and in need of medical attention, have someone with a radio contact the Medical team. They will respond if they can come the current location or if the child should be brought to another location. For Major or Life-threatening Injuries/Illnesses: • Do not move the person. • An adult must remain with the person at all times. • Send a runner to summon help. • Call 911 first, and then have someone with a radio call Medical. (The MRM volunteer will respond directly to the area where the child is.) For severe allergic reactions, involving use of Epi-Pen • A child with a life-threatening allergy will have an Epi-Pen that is kept with him during VBS (and will be kept by the Crew Leader or Assistant, in the Crew Bag). This is an injection of epinephrine, which is the life-saving medication in an instance of severe allergy reaction. The Epi-Pen is to go home with the child at the end of each day. • Although the MRM volunteer would be summoned and most likely available to administer the Epi-Pen if needed, Crew Leaders with a child in their crew who has a severe allergy should also be trained in the use of the Epi-Pen, in case breathing difficulties begin before the MRM volunteer can get there. • If a Crew Leader feels that there is absolutely no way, he/she could administer the Epi-Pen in a life-threatening situation, please let the directors know. It would be best if the child is placed in a crew with a leader who could do this. We have a training video on our VBS site, and we will send it to you via REALM, closer to our start date.

A CARD WITH INSTRUCTIONS FOR USING THE EPI-PEN WILL BE INCLUDED IN ALL CREW BAGS. PLEASE REVIEW EPI-PEN INSTRUCTIONS FOR USE A child with life-threatening allergies may need use his/her Epi-pen if any of the following symptoms arise: complaints of difficulty breathing, wheezing, complaints of tongue or lips feeling thick or swelling, tightness in throat, sudden weakness or dizziness, or anxiety. If these symptoms arise assist the child to sitting or lying down and work with your assistant or another adult to do the following: • CALL 911 • Summon the MRM volunteer • Remove the Epi-pen from its case, grasping it in your fist with the orange tip facing downward, and remove the blue safety release cap. • Using a swinging or “punching” motion, firmly press the Epi-pen against the thick, outer thigh at a 90-degree angle, through clothing if necessary, until you hear the Epi-pen click. • Hold in place for 10 seconds, then remove. Massage the injection area. • The used Epi-pen should be returned to its carrying case, which will not close completely once an epi-pen has been used. The parents will need to take it to the hospital or doctor’s office for proper disposal.

The ONLY medications permitted during VBS are Epi-pens, insulin (for diabetics), inhalers (for asthmatics), or other life-sustaining medications. The Bible Chapel’s security team will have 2-4 security guards in the building throughout the VBS morning. They can be reached by radio using channel 1. In the event of any emergency, do not leave your crew alone. The Crew Leader must stay with the crew, while the assistant crew leader finds anyone with a radio. Call security on channel 1 to inform them of the emergency.

Fire alarm or other evacuation situation: • Account for all your children • Evacuate the building at the nearest exit. If you do not know the church layout well, please take a moment to walk the building and know where all the exits are located, so you know which is closest to you • Have children holding hands, to keep them together as you evacuate. • No running! Leaders must stay calm, to head off panic in the children. • Once out of the building, remain in your group in the outer areas of the parking lot. • Use the green and red cards in your crew bag. If you have all your children with you, hold up the GREEN card. If not, hold up the RED card. **DO NOT LEAVE THE GROUP TO FIND YOUR OWN CHILDREN! This will only further complicate things. Your child’s crew will have your child safely accounted for. If you remove your child from their crew, then there is uncertainty as to where the child is. Also, your crew is left without leadership. You must stay with your crew and trust that your children are being cared for.

Missing child: The Crew Leader stays with the crew. The Assistant Crew Leader: 1. Finds a radio or Director or Security 2. Report missing child to security on channel 1 3. Report missing child to all children’s ministry leaders on channel 8. 4. Be prepared to show group picture taken that morning and to provide child's name, age, hair color/general appearance, clothing description.
