Placement Systems Coordinator Navitas is a diversified global education provider that offers an extensive range of educational services for students and professionals including university programs, English language training and settlement services, creative media education, workforce education and student recruitment. Navitas is seeking an experienced Placement Systems Coordinator to support the functional administration and development of the Sonia Placement System across multiple Navitas business units and institutions, including: Health Skills Australia; Careers & Internships; Government Services; and the Australian College of Applied Psychology. As the product owner for Sonia, the successful candidate will work with staff to improve students’ experience of placement, by driving systems improvements and upgrades, helping the institutions embed Sonia into their processes, and building staff capability through training, support and resource development. There is an established network of Sonia Product Champions in each institution, as well as an active user group for collective decision-making (the Sonia System Review Group). Essential Criteria:

Experience with Sonia student placement management system Substantial experience in driving systems improvements through collaboration with users, particularly in relation to workflows, UX and reporting Excellent interpersonal skills with the ability to communicate effectively with people from both non- technical and technical backgrounds, and to respond efficiently, courteously and on-time to clients Quality focus and attention for detail Experience in delivering training and developing support resources Highly developed investigation and technical problem solving skills Demonstrated ability to work both autonomously and effectively as a member of a team

Experience with student placements or internships IT product and service management experience

You have exceptional interpersonal and communication skills and are able to work both independently and within teams. You are willing to take the lead when it comes to investigations and resolutions of problems associated with placement systems. 1. Overview and Objectives of the Position The Placement Systems Coordinator supports the functional administration and development of key systems for student placement across multiple Navitas business units and institutions, including: Health Skills Australia, Careers & Internships, Government Services, and the Australian College of Applied Psychology. The key system is the Sonia student placement management system. As product owner for Sonia, the incumbent will work with staff to improve students’ experience of placement, by driving systems improvements and upgrades, helping the institutions embed Sonia into their processes, and building staff capability through training, support and resource development. There is an established network of Sonia Product Champions in each institution, as well as an active user group for collective decision-making (the Sonia System Review Group). 2. Key Relationships This role sits within the Careers & Industry Division (C&I) Learning Technologies team. Close relationships will be formed with:  Sonia Product Champions within each institution  Placement Coordinators and placement staff across each institution  Planet Software (Sonia Placement System vendor)  Key contacts within the Navitas IT team  The Careers & Industry Learning Technologies team, consisting of Learning Technology, A/V and IT Support professionals

3. Key Result Areas (Areas of Accountability and Responsibility) Placement systems administration and development Perform administration, development, testing and troubleshooting for placement systems particularly Sonia. This will involve tasks such as: 

Lead investigation, evaluation, and sustainable implementation of new features and tools within Sonia in close collaboration with the business units and institutions

    

Undertake the investigation and resolution of issues/problems associated with placement systems Coordinate Sonia upgrades Set up and initiate communication processes around changes/issues associated with placement systems Coordinate working groups and develop processes related to the management of placement systems Act as the key liaison with Planet Software on behalf of the Sonia System Review Group

User support and training Build staff capability and drive professional development to help ensure users are confident and effective with the placement systems, by undertaking tasks such as:  Provide user support and expert knowledge of the Sonia placement system to Sonia Product Champions  Pro-actively identify and address all enquiries from Sonia Product Champions  Conduct one-to-one and group training with staff in the use of the Sonia placement system  Contribute to the development of concise and easy to understand support resources (text and other media) for the use of placement systems by staff and students Governance and management Contribute to the reporting on placement system use, development, support and training, as well as the development and maintenance of policies and procedures. This will involve tasks such as:      

Document and communicate placement system procedures and processes Maintain a knowledge base of key information about placement systems management and known issues Write clear and concise reports and communicate effectively with a variety of audiences Implement IT and Learning Technology policies Maintain records of activities and outcomes Contribute to the Sonia Systems Review Group including meeting agendas and minutes
