The Technology Department is fundamental to our organisation. This is an exciting, diverse role, which will require the successful applicant to provide front line technical support for Kent Union, whilst also holding responsibilities for set up and maintenance of new and existing equipment. Working alongside the Head of Technology, this role will require the postholder to maintain technology systems which are robust, efficient and represent value-formoney. The role will offer opportunities to play an active role in all development projects for the Union, ensuring technology is utilised effectively in all services and spaces. This includes the introduction and development of new equipment or technologies for Kent Union as well as the opening of our new purpose built students’ union building in 2022. The post holder will also support the running of live events; working with Kent Tech, our sound and lighting service, as well as supporting our Media Centre groups, CSRfm, KTV and Inquire. This is a diverse role which comprises project work alongside maintaining the smooth running of complex IT and AV systems; it will require the post-holder to have a flexible approach, adaptability skills and a willingness to learn. Job Description – Technology Support Specialist Department: Technology Reports to: Head of Technology Role Purpose: The post holder will be required to support the department with the delivery of IT, Audio Visual and payment solutions across the organisation and provide front line support to our staff, volunteers and partners. Duties and Responsibilities Financial Responsibilities: 1. To support the department in processing financial paperwork including invoices, purchase orders and internal transfers, ensuring value for money at all times. Responsibility for People 1. To provide support and training to staff giving our users confidence in using our IT/AV systems and new technologies. 2. Responsible for attending all scheduled training and mentoring sessions. 3. Follow Health & Safety, electrical safety and working at heights policies and carry out risk assessments. Operational Duties 1. To provide IT & AV support to our staff and volunteers with printing, wireless, MS Office, mobile device or general technical queries. 2. Logging and responding to incidents and queries using the HelpDesk system in a timely manner ensuring quality of service. 3. To install, configure, test and deploy IT and AV equipment or systems. 4. To help develop and maintain the IT asset database. 5. Ensure technical equipment such as PCs, laptops, servers, printers, till systems are operational and carry out regular maintenance tasks. 6. Provide support for our till systems throughout our commercial outlets. 7. To assist with processing electrical disposals including running data destruction processes. 8. To assist in the deployment and maintenance of our Windows 10 staff image and Mac media suite. 9. Liaising with the University Information Services Department, external suppliers and partners. 3|Page

10. Support the Media Centre in the management of their TV, Radio, editing and card entry systems. 11. Supporting our live events and outside broadcasts with active involvement in Kent Tech sound and lighting, CSRfm, KTV and Inquire newspaper. 12. Project work on initiatives to improve our IT service provisions 13. Comply with relevant legislation such as Data Protection Act, GDPR, PCI DSS, software licensing and ensure our staff are following required procedures. 14. Assist in the maintenance and setup of sound, lighting and video equipment. 15. To support the delivery of the Technology Strategy 16. Undertake any other duties as may be reasonably required by the department or organisation. Expected Behaviours 1. This is full time position with starting salary of £24,073 Hours of work: 35 hours/week Normal place of work is Canterbury but expected to work at our Medway campus as necessary Working pattern: Typically 9am-5pm Monday to Friday with 1 hour lunch break however required to provide occasional evening and weekend cover for events

Summary Conditions of Appointment Salary This post is at Grade 6.1 of Kent Union’s current pay scale, £24,073. Staff normally move up one incremental point annually, subject to performance. Contract Length The post is full time, permanent. Probationary arrangements This post is subject to a 6-month probationary period, with 1, 3 and 6-month reviews. Notice Period The notice period for this position is one month. Annual Leave Entitlement The post holder is entitled to 23 days’ leave, increasing by 1 day a year to a maximum of 28 days; 6 ‘customary’ days’ leave, normally taken over Christmas; and the 8 statutory leave days for England. Total entitlement is therefore 37 days in year 1, rising to 42 days after 5 years. Pension The post holder is entitled to join Kent Union’s Career Average Related Earnings (CARE) pension scheme with salary sacrifice, in which Kent Union contributes 16% and employees contribute 6% of salary. Alternatively, the post-holder can join a personal pension scheme through Scottish Equitable, in which Kent Union contributes 6% and employees contribute 3% of salary. Hours of Work The contracted hours are 35 hours per week; additional hours where deemed necessary with occasional evenings or weekends. Legal Status Kent Union is an unincorporated association and a registered charity. The Union has a Board of Trustees, which is legally responsible for all aspects of the organisation. Democratic Structures Kent Union is a membership organisation; all students at the University of Kent are automatically members of Kent Union. The membership provides strategic and political 9|Page

direction through the Union’s democratic structures, including petition and feedback mechanisms, all student votes, referenda, the Annual General Meeting, a Campaigns Forum, Executive Committee and seven elected Trustees. The Trustees The Trustees of Kent Union are the five ‘sabbatical officers’, four ‘external’ trustees and four ‘student’ trustees. The sabbatical officers and two of the student trustees are elected each year by and from the student membership of Kent Union. The sabbatical officers take a year out of their studies (or immediately after graduating) to serve as a trustee; they can stand for re-election for a second year if they choose, but can serve for no more than two years. Unlike the trustees of most registered charities, the sabbatical officers are paid a living allowance and work a normal working week. The four student trustees have all the responsibilities of being a trustee, but are still studying and fulfil their duties on a ‘part-time’ and voluntary basis. Two of the four student trustees are elected by cross-campus ballot and take office on 1st July each year; the other two student trustees are selected via a recruitment process in the October of each year. Staff and Management Structure Kent Union employs approximately 500 staff to provide services for its members. Staff are of two types – approximately 360 student staff, who work whilst completing their studies at the University of Kent; and approximately 140 career staff – professionals who have made working at Kent Union part of their career. The Board of Trustees oversees the work of staff through the Chief Executive and Director Group, who in turn manage staff through the 15 senior managers, each of whom is responsible for one of the Union’s Departments or a strategic function.
