Development Assistant- Part Time Organization Description Girls on the Run-Chicago (GOTRC) is a non-profit 501(c)(3) organization whose mission is to inspire girls to be joyful, healthy and confident using a fun, experience-based curriculum which creatively integrates running. In the past 17 years, thousands of individuals throughout Chicagoland have volunteered their time and dedicated their hearts to empower more than 75,000 young girls with the confidence and character they need to become strong, healthy women. This year alone, more than 1,500 coaches will mentor 10,000 girls at over 350 sites in eight Chicagoland counties. More than just a running program, GOTRC uses a cutting-edge curriculum that addresses the unique developmental stages of 8-14 year olds. The fun, innovative program combines training for a 5k event with interactive lessons that encourage positive emotional, social, mental and physical development. Reports to: Director of Development Status: Part time, Non-exempt Position Summary: Under the direction of the Director of Development, the Development Assistant, provides critical admisntrative support to our fundraising team, with a primary focus on gift acknowledgement, data entry and support for our Charity Athlete team and Special Events initiatives. Duties include but are not limited to: Department Support • Record in the database and generate tax receipts for all donations to the organization. • Generate weekly development reports, including the Development Dash for the executive team • Work with Finance and Administration to reconcile contributed income revenue between departments. • Contribute in an administrative capacity by answering phones, attending staff meetings and department meetings, and other duties as assigned.

Special Events •

Responsible for managing all logistical and administrative aspects of the Run Like a Girl Soirée, the Spring Give for Girls, and the Associate Board fundraising events.  Set up and monitor online registration pages using the organization’s preferred provider.  Manage guest list, including online and offline registration.  Organize and manage all event-day materials including registration bins, lists, auction envelopes and accessories, hanging folders, check out forms, payment forms and other needed items.  Track auction items and under the direction of the Development Manager, sending solicitation letters, tracking donations, conduct follow up, manage volunteers, and package items.

Manage all data entry into SalesForce or any other current or future data system in relation to ticket sales, auction items, participation or donations in conjunction with all organization special events including the Soiree, Give, AB Events and third party events on behalf of GOTRC. Generate and send all donor acknowledgment letters related to Special Events.

SoleMates Charity Running Team • Manage inventory and distribution of all apparel and materials to members of the team. • Organize GOTRC presence at Expos and on Race Day in support of our SoleMates team, including providing for any hospitality or special venues and coordinating supply load in and out. • Attend running community events, expos, and races in support of our team or to support recruitment and outreach efforts. • Collaborate with Volunteer Services to ensure proper volunteer support at expos and events. 5k Runner Fundraising • Manage inventory and distribution of all fundraising prizes. • Handle administrative tasks associated with 5k runner fundraising, including data entry into SalesForce and setting up pages within our proprietary system. Individual Giving and Matching Funds • Enter all data related to individual giving and matching gifts into the database. • Generate reports on campaigns and initiatives that can then be reconciled with Finance and Administration. • Generate all tax-receipts and acknowledgements for individual donations. • Manage the organization’s Matching Funds program in partnership with Finance and Administration Sponsorship • Enter donor and contact information for all sponsors into the database. • Record in the database and generate tax receipts for all donations to the organization, specifically related to sponsors, 5k runner fundraising, and individual donations. • Assemble sponsorship packets, both digital and physical, for the Development Team. • Attend in-store and other sponsor engagement events. Requirements • Bachelor’s degree in marketing, communications, public health, social work, education or related field (or equivalent combination of education and experience) • 1-3 years of previous work experience with nonprofits and/or program coordination and/or fundraising is desirable • Ability to multi-task and manage a unique set of program and development-related job responsibilities • Strong passion for the organization and our mission • Prior running/endurance sports experience a plus • Exceptional people skills and ability to quickly engage potential charity athletes, volunteers, and donors • Strong attention to detail with ability to organize and manage information from a variety of sources and formats • Excellent communication skills, including writing, grammar, speaking and presentation abilities • Computer competence, including but not limited to Microsoft Office and database software • Ability/willingness to act as substitute coach if needed • Outstanding relationship-building skills and the ability to respond quickly and empathically to volunteers, community contacts, parents, teachers, and others • Ability to travel within assigned territory, using a personal vehicle

This position reports to the Director of Development, This position is part time. Evening and weekend hours are often required. Vacation blackout periods may apply.
